Agenda for Committee Meeting at the Shaw Inn on the 30th of March

1/. A Role-call will be taken of all the delegates and committee present. Any apologies will be given.

Present: Phillip Chapman(League Chairman), Roy Chapman(League Secretary), Kev Goodall (Treasurer), Lynne Robinson (Assistant Treasurer),  Dave Lane, Pete White, Jack Cureton, Steve Mosely

Apologies; Steve Goodyear (Result Secretary)

2/. Once the meeting commenced the following list of duties were stated and were to be completed by the next meeting at the Boatman’s Rest.

Phil Chapman to e-mail Kev Goodall the list of inter league games.
Kev Goodall to print this list for next meeting.
Phil Chapman to e-mail draw for Individuals and Pairs.
Roy Chapman to e mail Minutes from meeting at the Mount and committee meeting at the Shaw.
Phil Chapman to e-mail Kev Goodall the rankings and Kev to put these on the Web.

3/. The draw for the 2009 Individual and Pairs was generated by Dave Lane and Kev Goodall with the aid of a computer program and delegates receive the subsequent draw in next meeting’s newsletter.

It was deemed that there wasn’t the need for a round of pairs and delegates will be told when this will be.
The venues will be decided by Phil Chapman and be available by the end of the week. Moreover, it was stated that the Victoria and Ardsley Oaks cannot host Individuals and Pairs, and the committee would like any other team unable to host Individuals and Pairs to let the committee know.

4/. It was brought to attention of the league that Commerical dropped out of the league. It was determined that the Commercial owed £80, so following rule , all players that had played for the Commercial would have to pay £8 to play for another team. Additionally, Miscues Reds were struggling to raise a team. Delegate Jack Cureton believes the team has disbanded and rang the League Chairman, Phil Chapman to pass on this information. He also rang Kev Goodall to ask how much money the team owed, and was told nothing. On further exchange, however, it was decreed that Sharon Lunn was not aware of the situation and the league decided that it was only right to give Miscues Reds a couple of weeks to be able to field a side. Phil Chapman will contact Sharon this week to see how things were developing. In the cup, Miscues Reds were playing Vic A, and Phil Chapman had received a telephone call stating that Vic A had not received confirmation that their game had been cancelled, but following evidence from Jack Cureton from his phone, it was decided that Jack had text Roy Billingham (Victoria Landlord) on the 19th of March at 22.55, so no further action will be taken.

5/. The worry trend of teams dropping out of the league was discussed. Whilst no definite solution was decided,  Roy Chapman and Phil Chapman stated that during the latter months of the year  they would contact, via a letter, numerous pubs and clubs in the Barnsley Area. If this didn’t solve the problem then a compromise could be to limit teams to three leagues and pubs would have to apply by letter to join the league.

6/. It has been noted that some teams are not filling scorecards out appropriately and would like to mention that sides that do not fill scorecards correctly will be fined £2 per scorecard as of rule . At the next meeting at the Boatman’s Rest on the 20th of April, the correct protocol regarding the procedure of filling in scorecards will be discussed.

For example:
Engineers v Pheasant had things written on card that was inappropriate
Kings Head wrote first names on card.

6/. The league discussed the Handbooks, and would like to apologise for the errors in them , but as was stated it was the first year that the league had done the handbooks themselves and would like delegates to appreciate that there would be teething problems. The cost was stated at £200, and discussed how we could make them better. Again sponsorship in the Handbook was mentioned and the league would continue to discuss how to improve this.

7/. The league offered a new role on the committee of Events Coordinator to Dave Lane, who accepted the role. His main objective would be to arrange a Race Night to pay for the improvements that the committee have decided that are needed for the Presentation Night. Dave will look in to it before next committee meeting at the George on the 1st of June.

9/.Any matters arising;-

A delegate asked, whether in a hypothetical situation, that if a pool ball flies off the table and damages something e.g a tv screen, if the league was covered by insurance. The league stressed that the League was not covered by insurance and therefore individual pubs would have to claim off their own insurance.

Winner of the Football card was Hull City – M.D. This was not claimed on the night. It was later deemed that Mark Dickinson (Waggon & Horses) was the winner.

9/. Any other business;

The quality of the presentation night was mentioned and the committee conceded that the presentation night was something that could be improved. Any ideas from delegates will be welcomed, and will look into the matter over the next few months.

The raffle on the presentation night, furthermore, was deemed as inapt and a possible alternative is a numbered ball system whereas a team’s ball is withdrawn from a bag, and not replaced. Therefore a team can only win one prize.

The individual and pairs was also cause for concern. Currently, the last 32 players are due to be play down to 4 on one night at the Miscues. Some delegates advocated that this was unfair on the other pubs in the league. However, the committee stated that the Miscues sponsored the league and it would be, ultimately, unfair to them. The league, moreover, is trying to organise a structure whereas all individuals and pairs will be available 4 weeks prior to the played date, and the current calendar would not allow this to be possible. Additionally, the committee would like to draw attention to the following general rules.
7/. N) All venues will be decided by the committee. (regarding ind and pairs).

8/. G) Any new rules or amendments to the general rules must be hand, in writing to the committee no later the presentation night.
